Business Support Administrator – Condie & Co Limited

We are delighted to offer an Administration Position to work within a well-established accountancy practice with their head office in Dunfermline and an office in Dundee. A positive work-life balance and your wellbeing are especially important at Condies. The working hours of the role are Monday to Thursday 8.45 to 17.15 with 1 hour for lunch and Friday 8.45 to 14.45 with 1 hour for lunch. You will be based in our head office.

The main areas of responsibility include:

Registering new clients and keeping the firm’s database up to date
Carrying out professional clearance tasks
Following the client engagement process
Carrying out administrative tasks and taking instruction on how to do tasks to pre-agreed standards
Processing incoming and outgoing mail
Carrying out office duties including ordering and receiving stationery, organising client papers to be delivered and dealing with clients
Supporting reception duties by meeting and greeting clients and guests to our office, the handing in of books and records, and delivering messages to other colleagues
Monitoring the return of key client documentation
Supporting Business Support Supervisor, Directors, and the wider team with all administrative tasks and duties.

Personal Specification

Ideally we are looking for someone who can meet the following personal specification:

Requirement

Qualifications / Education / Training:

· Prior experience working in a busy office/ professional services firm

· Maths and English pass at Nat 5/ GCSE Equivalent/ SQA level 2

Specific Experience:

· Dealing with client/customer enquiries

· Comfortable juggling different priorities

· Used to taking instruction and meeting specific deadlines

Knowledge, Skills & Competencies:

· Familiar with Microsoft Office packages

· Good grasp of spoken & written English

· Can format a business letter that is gramatically correct

· Self discipline & able to organise and manage own workload

· A team player

· Keen to aquire knoweldge and learn new skills

· Client contact throughout the onboarding process is essential and therefore good people and communication skills is vital.
