THE ORGANISATION

SPSA provides Scotland with a range of vital support services and an expert police resource to lead the country’s overt and covert fight against drugs and serious organised crime.  From the training they receive to make it onto our streets, to the technology they use when they are out there. From the intelligence they need to progress an investigation, to the evidence gathering needed to secure a conviction. From the expertise needed to take out a local cannabis farm, to the international partnerships needed to disrupt a money laundering scheme, the Scottish Police Services Authority (SPSA) is an integral partner for the forces and the Scottish Government in supporting policing to serve Scotland.

THE ROLE To provide a comprehensive and confidential secretarial and administrative support service to the Chief Executive and Director of Strategy & Performance which contributes to the strategic and operational management of the Scottish Police Services Authority and advances the delivery of organisational goals and values.  

ROLE RESPONSIBILITIES

·         Provide a comprehensive secretarial and administrative support service to the Chief Executive and Director of Strategy & Performance, including the preparation and updating of reports, incoming and outgoing correspondence, briefing files and telephone enquiries.  Undertake necessary follow-up actions.

·         Develop effective liaison with all Heads of Business Areas and senior managers across SPSA, and other relevant stakeholders within the Scottish Police Service and wider criminal justice community which supports partnership working and advances the delivery of business goals and objectives.

·         Provide a comprehensive secretarial and administrative service to the Convener and other Board Members as required.

·         Provide secretarial support for management and other meetings as required, including the preparation of agendas, meeting papers, minutes and action lists.  Undertake necessary follow-up actions.

·         Administer the Chief Executive’s and Director of Strategy & Performance’s diaries ensuring effective time management, provide relevant briefings, and manage forward planning of forthcoming engagements/functions etc. 

·         Control the records management system used within the Executive office ensuring that all correspondence is retained and marked in accordance with relevant policies and procedures.

·         In conjunction with the Executive Assistants ensure the provision of an efficient secretarial and administrative service to the senior management team.

·         Liaise with secretarial staff within constituent business areas and undertake awareness briefings on organisational/executive office requirements.

·         Undertake research and assist in the preparation of briefing papers within related areas of responsibility.

·      

Assist in the development of policies, procedures and guidance notes within related areas of responsibility for use within the SPSA.

·         Actively promote the organisation through the provision of high quality secretarial and administrative support services.

·         Undertake any other duties commensurate with the grade as required.
