Assisting the materials coordinator registering and tracking customer order input documents, coordinating transport collection of equipment & sending cargo summary tickets to the transport and shipping companies.
Responsibilities:
• Have all certifcation packages produced through the delivery ticket
• Ensure all paper work is collated and correct in a timely manner. IE certification, check sheet, coid, delivery ticket. Cargo summary
• Liaise closely with the yard team leader or work shop supervisor to ensure all equipment for onward shipment is ready for inspection prior to calling in any third party Inspectors.
• When third party inspector arrives on site meet him/her at reception and walk him/her through the job and assist third party inspector in order for him/her to carry out their duties in a timely fashion
• Have all the load test certificates, MPI reports, annual dimensional reports all scanned and stored into Acorde.
• Have all reports stored in an area for quick access
• Have all equipment documentation and technical drawings scanned and stored in Acorde
• To control the accurate, effective utilization of third party equipment for domestic and International destinations.
• To ensure that all third party equipment is ordered and consolidated in a timely fashion.
• Work closely with the Yard Team Leader in the planning and preparation of material shipments and dispatches.
• Assisting the materials coordinator registering and tracking customer order input documents, coordianting transport collection of equipment & sending cargo summary tickets to the tansport and shipping companies.
• Creating of all work orders for department, maintaining work order system from creation of job through to completion, ensuring all records is kept up-to-date and ensuring certification packages are made up for equipment ready for dispatch.
• Ensuring work instructions are up-to-date with regards to QHSE requirements and attached to relevant work orders.
• Keeping records of all offshore reports and action any repairs/modifications to be carried out.
Requirements:
• Be logical and able to organize and record information to an accurate level.
• Computer Literacy with Microsoft Word, Outlook and Excel.
• Standard Grade English & Mathematics (or equivalent)
• Working knowledge of Access, JD Edwards and or SAP
• Experience of working in an administration role
• Experience in fast moving workplace.
• Experience of working within a warehouse environment
• Knowledge of oil industry
• Clean Driving license.
