Department summary

The General Counsel function arranges the provision of legal and technical advice and assistance to help AEGON UK fulfil its business aims and to meet specific regulatory requirements.

 Responsibilities 

As our Legal Secretary, you’ll be responsible for providing secretarial and administrative support to the General Counsel (GC) function. This includes:  

  • copy and audio typing, managing manager emails, filing and ensuring the Case Management Database is maintained
  • carrying out archiving as requested by the team
  • maintaining department library
  • proactively organising internal and external meetings for the team, issuing online appointments for attendees and updating as required
  • processing expenses and invoice returns for area
  • distributing incoming and outgoing mail
  • making sure adequate stationery supplies are maintained within the department
  • liaising with our travel agent to book travel and accommodation
  • managing expenses for managers
  • preparing agendas for team and management meetings
  • maintaining Dispute Resolution team data in Excel

 To be our Legal Secretary, you must:

  • have experience of scheduling meetings in a timely manner while maintaining effective working relationships with customers
  • be experienced in providing administrative support to ad hoc projects as required, such as office moves
  • have the ability to have effective working relationships with other PAs, and all other internal and external customers
  • be confident in preparing presentations, letters, reports and documents to a high standard, paying close attention to confidentiality
  • arranging and confirming appropriate travel arrangements, and checking the monthly report sheet confirmation from the travel company
  • have knowledge of word processing systems (including MS Word, Excel & power point), email, diary planning and travel arrangements
  • a detailed understanding of requirements of specified meetings and the needs of attendees
  • the ability to demonstrate accuracy and effective organisation, with a positive attitude
  • have knowledge of maintenance of legal files; retention and privilege requirements
  • it would also help if you have private practice or in house legal experience
