The Shift Leader’s role is broad and covers all business areas of the operation. This is a hands on leadership role and will involve maintaining a productive work environment, while implementing an atmosphere that fosters personal and professional growth. The Shift Leader will be tasked to monitor and advance the output and quality of the production of Transcription Services work executed throughout the operation.
The Shift Leader will act as a department ‘coach’ and assisting in the training and development of staff by helping employees develop and succeed in their role. Like all effective coaches the Shift Leader is required to motivate, advise, give feedback, be supportive and provide strategic direction.
The Shift Leader role will be flexible between the hours of 7am and 12 midnight.
Key responsibilitiesDirectly supervise transcriptionists, tracking all aspects of performance and providing regular feedback to the Operations and Finance Manager.
Monitor the Workflow system, allocating work and ensuring sufficient staffing levels for all clients at shift commencement and throughout the day.
Achieve productivity targets as set by the Operations and Finance Manager.
Scheduling urgent work and ensuring clients are kept informed of any queries in relation to the completion of their work.
Managing the staffing resource available to ensure that most effective use of the team is made.
Proof read and spot check work produced by the team, identifying errors in respect of grammar, punctuation, style and content and feeding back for correction as required.
Monitor service and ensure that agreed service levels are maintained and exceeded where possible, continually looking for ways in which service levels can be improved.
Responsible for the day to day administration of incoming and outgoing work.
As required support workloads, produce neat well presented and accurate reports and other documents from digital sound files, analogue tapes and pdf formats, following set styles and processes as per individual client requirements.
Training of new staff at commencement of employment, including proof reading all work produced by them, calculating accuracy percentages, providing feedback and intensive support throughout training period.
Ensure all Transcription Services polices are adhered to including all Health and Safety requirements.
Maintenance of databases/spreadsheets and other systems.
Collate weekly and monthly workflow figures.
Assist in the maintenance of SOPs
Collation of data for invoicing purposes and assisting with processing invoices through SAGE.
Entering of alpha and numerical data into in-house system according to set format whilst working to strict deadlines.
Ensuring that the database has enough space for additional information by archiving older Word and sound files within agreed timescales.
Play a flexible role and cover for Workflow Coordinator and Operations and Finance Manager as required.
Carry out monthly reviews of performance with transcriptionists and plan any training or development required.
Undertake any other reasonable tasks as delegated by the Operations and Finance Manager.
Standards of Performance
Maintain a minimum of 15 minutes dictation in the hour with an accuracy level of no less than 99.5% when required to type.
Work quickly and accurately, often under pressure, on a day to day basis and responsible for ensuring that deadlines are adhered to and implemented in accordance with agreed procedures.
Ensure typed documents reach agreed quality and accuracy performance standards.
Keep Operations and Finance Manager informed, by way of verbal and written communication as necessary to maintain the agreed standards of service.
Provide guidance, assistance and support to team members, encouraging their continued involvement and progression at all times.
Promote a culture of team working at all times.
