PRIMARY FUNCTION

  • The primary responsibility of this role is to lead a successful Global Implementation Team.
  • Responsible for the day to day management, coaching and training of  employees
  • Responsible for team and individuals performance
  • To ensure Global implementations, are successfully implemented within scope, timelines and contractual requirements.
  • Recognition and management of any out of scope requirements, cost, timelines, resource allocation and ensure these are managed correctly and communicated to all stakeholders appropriately.
  • Regular communication with all stakeholders ensuring project progress, creep or scope change is identified.
  • Manage, support and mentor the Global Implementation Team to ensure that all project tasks are carried out in line with agreed timelines and scope and also ensuring the correct activpayroll procedures are being followed.
  • Demonstrates an excellent level of practical payroll and legislative knowledge in the UK
  • Responsible for Customer Relationships & team Service Delivery
  • Responsible for compliance with all company policies and procedures
  • The Global Implementation Manager must endeavor to improve operations, decrease turnaround times, streamline work processes and work cooperatively and jointly to provide a quality seamless customer service

Principal Operational Duties

  • Manage the Global Implementation Team and support them in the prioritisation of their projects and tasks
  • Leading and managing the delivery of multiple EMEA country payroll implementations, across multiple clients
  • Ensure activpayroll’s Global Implementation Processes are followed
  • Lead internal and external project meetings and client kick offs, ensuring effective communication so that all parties are clear on roles and responsibilities
  • Identify and /or resolve issues,  escalating where required
  • Attend implementation, sales or client and partner meetings at various locations where and if  required
  • Ensure full and effective communication with all key stakeholders within projects and ongoing
  • Ensure that all project activities that are responsibility of the Project Lead are carried out.
  • Ensure that any out of scope, complex project work requested by a client is fully scoped, costed, resourced and agreed appropriately
  • Ensure team compliance with all activpayroll procedures
  • Line management of the Payroll Team Leads, coordinating the department workflow and distributing work evenly across the Payroll Teams to ensure the delivery of a high quality, responsive and efficient service
  • Responsible for maintaining accurate resource plans and ensuring that future resource requirements are planned ahead
  • Coordinate and delegate workload across the team
  • Prioritisation of both project activities and ongoing operations with direction from the Payroll Operations Manager
  • Acting as an escalation point for both team members and customers to provide support and direction
  • Responsible for maintaining company quality and data security standards
  • Responsible for recruitment and selection of new team members with the support of the Payroll Operations Manager
  • Identify and deliver training requirements to both individuals and the team ensuring timely delivery to grow the team’s knowledge
  • Perform direct reports annual performance appraisals and identify individual training requirements and career development
  • Review existing payroll processes regularly to look for efficiency improvements and present business cases for change and improvements
  • Building and maintaining strong relationships with activpayroll customers
  • Responsible for ensuring a safe working environment and addressing all health and safety concerns immediately
  • Manage absence and staff holidays to ensure that the Team is adequately resourced at all times ensuring accurate and timely processing of the work in accordance with company procedures and client requirements.
  • Ensure that invoicing is performed timely and accurately by coordinating with the company Finance Department to develop and implement continuous improvement to the invoicing procedures

People Management

  • Must lead, support and mentor the Global Implementation team
  • Ensure everyone involved within an implementation project are clear on what is required of them and support them with their work load
  • Resolve any issues within the Global Implementation team, with Clients or Partners and escalate to your Line Manager when required
  • Ensure regular reviews are completed for new starts and annual reviews are completed for all other team members
  • Identify and resolve training requirements and encourage / support career progression

  • Confident to lead multiple implementations within a very fast paced environment
  • Excellent written and verbal communication is key to success in this role
  • Communicates effectively with all stakeholders in an efficient and professional manner
  • Must be a role model on how to manage a client’s expectations
  • Able to balance client or partner requirements against cost, practicality and ability of the business

  • Identify any opportunity to save costs/increase profit
  • Assess clients current processes making recommendations for streamlining and process improvements
  • Assess existing vendor’s performance and making recommendations for improvements
  • Assess activpayroll internal processes making recommendations for streamlining and process improvements

Competency

  • Payroll UK and or Global implementation experience, possess a high level of payroll and payroll related legislation knowledge
  • leadership and direct management experience
  • The ability to lead, influence and motivate teams, providing direction and clear instruction
  • High level of oral and written communication skills, with the ability to present and communicate effectively
  • Ability to multi-task and to co-ordinate numerous projects and operational teams concurrently
  • The ability to work under pressure to strict deadlines and to manage and direct team members during peak times
  • Good level of IT literacy; familiarity with databases and current software packages
  • Ability to detect potential issues and identify potential solutions ,Pro-active and analytical approach to problem solving
  • A strong emphasis on accuracy and quality
  • Ability to work under pressure and to strict deadlines
  • A high level of personal drive and self-motivation coupled with a strong positive attitude

  • Payroll qualifications or willing to undertake study
  • Minimum 10 years’ experience in payroll processing and administration
