As Finance Assistant you are required to operate the payroll system for all Staff employed by the Society, maintain all the financial accounting records and operate the accounting system on behalf the Care Manager and Executive Committee.
As the nature of your duties may bring you into contact with information of a confidential nature concerning Residents and Staff. You are required not to disclose such information to any unauthorised personnel.
DUTIES AND RESPONSIBILITIES
1.Payroll, Sage Payroll, four-weekly payment cycle.
2. Maintaining the Financial Ledger (Sage Instant Accounts)
3. Monthly and Periodic Management Reports.
4. Debtors Ledger – Issue of invoices and debtors control.
5. Purchase Ledger – Creditors payments.
6. Bank Account Reconciliation and Cash Control.
7. Budgetary Control - Financial year 1 October to 30 September
8. Production of Annual Accounts and supporting documentation
9. Carry out such other duties as may be required by the Care Manager and the Executive Committee, to ensure the efficient and effective running of the Society.
Finance Assistant, Further Information.
The Abbeyfield Kirkcaldy Society is an independent charity which operates its Care Home and Day Care Centre in a central part of Kirkcaldy. It also operates a lunchtime outreach meals service. Currently it has a turnover of some £1,200,000 employing around 65 staff and providing services over 100 people.
In addition to the outline of the role as specified, the post involves maintaining links and corresponding with local authorities, solicitors and families on financial matters related to residents and day care service users. Detailed records are maintained covering the relevant service agreements and weekly updates and reconciliations of activity are required.
Contract records for supplies and service agreements are held, both to facilitate the control of such and to provide the Care Manager with the necessary evidenced information required by the various inspections to which the Society is subject. The Finance Assistant will be responsible for ensuring that the records contracts for services such as equipment maintenance, utilities, insurance etc. are held in such a way that the necessary agreements can be negotiated or updated before the appropriate renewal dates. The Finance Assistant will also be involved in some of the processes involved in obtaining quotes and agreeing renewals of these contracts.
The work is of a varied nature, the Society’s ethos is focussed on the care of the people who rely on our services and all staff are seen as part of, and have to work as, a team. The Finance Assistant will, from time to time, be in direct contact with residents and other service users. As such, there is a need to be able to relate sensitively to older people as well as maintain strict confidentiality
