Due to continued growth, we are looking to recruit a part time Administration Assistant to be based in our Fort William depot, supporting the wider South Caledonia Region which includes Tayside, Central and Argyll.  Reporting into the Depot Team Manager you will be responsible for all administrative activities within your depot base.  Our requirement is for three hours a day, five days a week (15 hours per week in total).

The administrative team across the region are responsible for the maintenance and monitoring of staff records, including timesheets, holidays and volume capturing records. The team also coordinate compliance related activities including GS Standards, Safety and training and tool records. As a member of the administration team you will play a key role in supporting our project delivery activities and provide a direct link in achieving our customer service targets of a 10/10 customer service.

As part of the role, you will be responsible for raising Purchase Orders and receipting invoices, therefore a background in resource management/control would be beneficial. Strong organisational skills and a good level of computer literacy, in particular Microsoft Office (Word and Excel) are essential for preparing and producing reports for management. Strong attention to detail will enable you to maintain the high degree of accuracy required for data capture and record maintenance of vehicle checks and safety briefs. You will regularly update this information onto our internal systems (Promis and Sims); therefore although not essential, experience with either of these packages would be advantageous.

To be successful in the role you will have excellent interpersonal skills as you will be required to liaise with customers internally and externally, both face to face and over the telephone. Your motivation and flexibility is essential, as you will be required to provide phone duties associated with on /off site times of our field based operatives and may also be required to participate in standby duties during storm works.
