442 Design is a retail and entertainment interiors and brand communication graphics company based in Edinburgh. We have a busy and vibrant workplace with a strong team ethos and are looking for Admin support on 9 month contract (October 2016 to July 2017)
442 Design is seeking a bright, outgoing personality to fill our reception and administrative assistant position in the studio for a maternity cover. As the first point of contact for the agency across all touch points, you will be required to meet and greet all visitors to the studio and direct all incoming callers in a friendly and inviting manner. Seated at reception in a busy open plan studio, further duties cover a wide variety of administrative support to the studio.
Key Responsibilities and Accountabilities:
- Answer incoming calls / greet all visitors – first point of contact for the studio
- Supplier and IT management
- Incoming / outgoing mail and couriers
- Booking travel arrangements for staff
- Office maintenance and general upkeep, including kitchen / stationery supplies monitoring
- Project research as required
- Manage meeting room bookings, appearance and room prep
- General office duties
- Outgoing, positive personality
- Pleasant manner to clients and colleagues
- Smart appearance
- Articulate – able to hold a conversation with customers
- Attention to detail
- Confident and efficient to carry out tasks
- Team player
- Excellent working knowledge of Microsoft Office (Word, Excel, PowerPoint)
- Ability to research and analyse project related tasks (e.g. web research)
- Aptitude for basic numbers / finances
Experience in working in design / media / advertising / retail / entertainment environments would be useful but not essential.
