The Registry Services Directorate is responsible for the policies and procedure of services to staff and students, with support throughout the student lifecycle, including admissions, enrolment, examinations, timetabling, graduation, students support and welfare, careers services, quality management and external partnerships.
The post of Deans Administrative Assistant is located in the Quality and External Partnerships section of Academic Registry (itself part of the wider Registry Services Directorate) for management and support purposes. The Deans Administrative Assistant will need to liaise with staff across the Registry Services Directorate, other professional services departments, Schools and occasionally externally, and be able to juggle conflicting priorities of the Deans to support them in your role.
There are three Deans of the University who represent the academic community independently of the academic School structure, and provide an interface between the academic community, including the Senate, and the various academic management procedures. The Deans cover a wide range of academic duties, including the chairing of University-wide Committees, leading and supporting student disciplinary hearings, attending Examination Boards, sitting on academic selection panels and promotion boards and being the first point of contact for advice and guidance on regulatory matters.
Working for the three Deans of Heriot-Watt University, the Deans Administrative Assistant will provide a high quality, proactive administrative and clerical service. The Deans' duties are wide and varied, and this will be reflected in the nature of support you provide. You will have responsibility for providing secretarial and administrative support, including communications, diary management, travel arrangements, project and meeting support. In addition to PA duties, you will support the key academic processes associated with the Deans, such as Deans' Representatives on Boards of Examiners and the approval of External Examiners and associated reports.
