This is an exciting opportunity to join the Construction division of the Malcolm Group, one of the largest civils contractors in the UK. We are a privately owned, highly successful company currently seeking an experienced Administration Assistant/ Receptionist to support our Tipper Invoicing department. The ideal candidate would have previous administration experience and the desire to work in a thriving, fast paced environment.
About the role
We are currently seeking an experienced Administration Assistant/ Receptionist to support our Tipper Invoicing department. Reporting to the Tipper Invoicing Manager, you will be based at our Construction head office on South Street in Glasgow.
This is a full time position, with the hours being 8:00 am – 4:00 pm, Monday – Wednesday and Friday, and 9:00 am – 5:00 pm Thursday.
The role will involve but is not limited to;
-word processing drivers daily worksheets, including hours worked and daily fuel consumption
-processing order numbers and inputting data into the company internal operating system
-generating draft invoices and compiling/ distributing original invoices
-filing and processing relevant records as required
-answering and transferring calls to relevant departments
-processing internal mail and franking external mail
-being the first point of contact for external visitors to the company
-any other ad hoc duties that may arise
The ideal candidate
Previous administration experience working in a fast paced environment is essential. The ideal candidate should possess excellent organisation skills with the ability to prioritise and manage a diverse workload. The successful candidate will demonstrate the ability to work using their own initiative and will show the necessary enthusiastic and proactive approach needed to establish positive relationships with colleagues and managers. Communication within this role is vital and therefore the candidate must possess excellent written and oral communication skills as well as being competent using Microsoft office packages, specifically Microsoft Word and Excel. The ideal candidate should have the necessary interpersonal skills to integrate into an established team.
Previous experience working within the Construction or Logistics industry is preferred, however, not essential.
