ROLE DEFINITION

To provide administrative and clerical support in order to assist the delivery of an efficient and effective service within the Affordable Housing Team / Private Sector Housing Team.

KEY TASKS AND RESPONSIBILITIES

Corporate Responsibilities

To undertake individual role in line with the Council's Strategic Priorities and in compliance with the Council's corporate policies and procedures. To undertake any other reasonably required duties as instructed by Management or someone acting on their behalf, in addition to the role specific tasks & responsibilities detailed below.

Role Specific Tasks & Responsibilities

To provide a single point of contact for all enquiries received in person, by telephone, or correspondence from other services, agencies, voluntary organisations and members of the public. To facilitate and administer meetings and consultation exercises as required by the Team Manager. To resolve delays, customer complaints and services requests timeously to minimise the impact on service delivery, performance and customer satisfaction. To prepare high quality written work in a format appropriate to the target audience. To ensure that all recording systems are updated accurately and timeously. To order stationary, supplies and services, ensuring that team budgets are monitored and reconciled. To ensure that all orders are processed within the Pecos system and that all invoices are processed within appropriate timescales. To coordinate diaries, file, photocopy, fax and undertake any other administrative support tasks as required by the Team Manager. To deliver all functions in line with agreed service standards, performance indicators and targets and to implement corrective measures as instructed by the Team Manager. To support partnership working in order to enhance service delivery. To contribute to the Housing Service continual improvement agenda by assisting in the identification and implementation of measures, policies and procedures, which are innovative, offer value for money and are recognised as examples of good practice. To undertake any other duties as directed.

Education and Qualifications

SVQ Level 3 in Administration / Customer Service or equivalent Consideration will be given to candidates who can demonstrate relevant experience within a similar role and can commit to undertaking additional training HNC in Administration / Customer Service or equivalent Application Form Interview

Experience

Previous clerical experience gained in a local authority setting / or a customer focused organisation Experience of working to tight deadlines Minute taking Budget monitoring Experience of working in a housing or customer service background Application Form References Interview

Specialist Knowledge

ICT literate with good knowledge of Microsoft Office applications Working knowledge of Council systems (e.g. Pecos, Masterpiece and Lagan) Application Form Interview Pre/Post-Interview Check (if appropriate)
