You will be based within one of the 3 Social Work Area Offices - Renfrew, Johnstone or Paisley.
We are looking for well organised individuals with drive and commitment to provide a comprehensive business support service to Social Work’s Children’s Services teams, within a changing environment. The postholders will be part of a small minute taking team based within a locality office and will be responsible for the smooth co-ordination of arranging meetings and provision of minute taker for statutory meetings etc.
The main duties of the posts will include: arranging/attending meetings such as child protection case conferences, looked after children reviews etc, providing a meet and greet service, managing diaries, co-ordinating paperwork, updating information on databases or spreadsheets as required; data quality checking; preparing and maintaining statistical returns and reports; dealing with customer enquiries by telephone, mail, email and in person; carrying out word processing and producing documents to a high standard; organising and prioritising tasks; supervising and managing staff as required.
It is essential that you can accurately and quickly produce a minute of a meeting to a high standard, have excellent communication skills as you will be required to liaise with multi agencies and the public. You should be able to conduct yourself in a professional manner, be flexible and be able to take a responsible approach to sensitive information. You must be able to understand and follow processes and instructions from different sources and work under pressure and to strict timescales.
Other essential qualities are good time management skills, your ability to work on your own as well as part of a team, using your initiative as appropriate and deliver quality standards.
Full training and support will be given to ensure that you are able to maintain business support’s commitment to continuous improvement.
