We are looking to fill a new position at one of our sites in North Ayrshire.

Working Hours: Monday to Friday: 08:00am to 4:00pm (The role requires some flexibility and may require occasional evening and weekend work)
The Assistant Estates Manager will be responsible for basic day to day management tasks and providing a maintenance, monitoring and caretaking service to the Company’s Industrial Estates. Roles include marketing of the available space, maintaining the amenity of the Estates, minimise risks to the health and safety of those using the site, limiting the possibility of damage to the Company’s premises and loss of property through theft outside normal business hours.
To ensure the cost effective use of materials and equipment and participate in the efficient and economic use of the Company’s premises and land.
The principal roles are as set out below. These are not exhaustive. The full range of tasks will vary according to the requirements of the Company.
1. MARKETING AND PROPERTY VIEWINGS
To accommodate any viewing by a prospective tenant(s) of the available property on the Estates as well as ensuring vacant space is well presented at all times. Completion of property enquiry forms and marketing reports to the Estates Manager.
2. STATUTORY COMPLIANCE
Carry out routine checks on firefighting equipment, fire alarms, emergency lighting, fire escapes, fire paths and any additional ancillary equipment, e.g. fire extinguishers, hose reels etc. Monitor water temperatures and water hygiene as required. Maintain and update Asbestos Registers and Fire Risk Assessments.
3. ENERGY EFFICIENCY
Maximise energy efficiency throughout the Company’s Estates by limiting energy waste in lighting and heating systems. Liaising with the Estates Manager on energy efficiency and implementing policies and procedures to monitor and manage energy consumption and reduce wherever possible.
4. STOCK, CONTRACTORS AND UTILITY MONITORING
Monitor the performance of outside contractors working on the site and inspect completed work including standard of cleaning provided by contract cleaning staff and grounds maintenance contractor.
Establish and maintain procedures to ensure that the site is stocked with all necessary supplies of cleaning materials, personal hygiene products and sundry items and arrange replenishment.
Carry out routine checks on emergency lighting, fire escapes etc. Take and maintain an accurate record of meter readings for gas, water and electricity.
5. COST EFFECTIVENESS
Contribute to the Company’s objective of achieving best value for money in the maintenance of it’s buildings and site.
Job holder needs to be aware of health and safety issues and perform all duties whilst adhering to safety standards, including implementing risk assessments. Whilst working under the direction of the Estates Manager, job holder will be required to make some decisions, e.g. whether work of outside contractors reaches the required standard.
Whilst the job holder will not be directly responsible for setting any budgets/expenditure, they will make a contribution to cost effectiveness in the maintenance of the buildings, site and utilities.
Participate in and ensure that the site is kept clean and tidy, including all outside hard areas, e.g. litter clearance, leaf sweeping. Collection and disposal of refuse. Respond and carry out urgent or emergency cleaning as required.
7. SITE MAINTENANCE
Contribute to maintaining the site in a good state of repair including monitoring and controlling heating systems (where applicable), replacing or reporting lighting failures to the common parts of relevant buildings and the wider site as well as landscaping work (both hard and soft).
Liaising with the Estates Manager in the preparation of long and short term maintenance programmes. Liaise with contractors where instructed.
8. PROPERTY MONITORING
Control access to various buildings and arm/disarm alarm systems, where used, when premises are not in use, to protect the buildings and their contents.
Provide safe access to buildings in the event of snow, minor floods and similar emergency situations.
Education, Training and Work Qualifications
Basic general education. Recognised training/qualifications associated with caretaking/DIY activities desirable (e.g. C & G Certificate in Caretaking Maintenance, Electrical Testing Level 1) Knowledge of basic site maintenance and good practices in building services, e.g. heating, plumbing, carpentry, electrical etc. Ability to plan and prioritise a range of regular and irregular tasks, and ability to analyse tasks and how they may best be achieved. Good oral and written communication skills. Ability to relate with a wide range of personalities. Basic DIY abilities essential.
Experience in building maintenance work or property management. Experience of supervising staff. Other requirements, such as reliability for securing the site on a daily basis, are essential. Must be adaptable and supportive of colleagues. Physical ability to carry out manual tasks, e.g. lifting, cleaning, gardening and moving of items.
