Full Job Description

We are seeking to appoint an Administration and Attendance Officer to provide high quality administrative, attendance and receptionist support within the school. This is a varied role which combines administration and attendance responsibilities, supporting colleagues, students, parents, carers and external agencies through accurate systems, clear communication and effective organisation. The postholder will play an important part in promoting high levels of attendance and punctuality. This will include daily monitoring, first day calling, accurate recording on the school MIS, producing attendance reports and communications, and working with families, pastoral leaders and external agencies to help address barriers to attendance.,

  • Support the effective delivery of administrative, attendance and organisational processes across the school.
  • Maintain accurate pupil records, attendance information and communication systems.
  • Monitor student attendance and punctuality daily, including first day calling.
  • Produce attendance letters, emails, text communications and reports in line with school procedures.
  • Work with pastoral leaders, Heads of Year, families and the Education Welfare Service to support improved attendance.
  • Support Child Missing Education procedures, welfare checks and safeguarding processes linked to absence.
  • Assist with statutory and operational returns, including school census requirements.
  • Manage manual and computerised record and information systems.
  • Provide professional reception support and respond to enquiries from parents, students, colleagues and external agencies.
  • Produce documents, correspondence, reports, newsletters and staff bulletins as required.
  • Support first aid provision and pupil welfare matters as required.
  • Maintain confidentiality and work in line with GDPR, safeguarding and Trust policies.

    The successful candidate will be organised, accurate and professional, with strong communication and interpersonal skills. They will be able to work effectively in a busy school office environment, prioritise workload, maintain accurate records and respond calmly to requests, queries and concerns.
  • They will have good standards of written and verbal English, NVQ Level 2 or equivalent qualifications in English and mathematics, and confident IT skills including Word, Excel, Access and Outlook. Experience of using MIS or other relevant school systems to monitor and report on attendance would be valuable. They will understand the importance of attendance, punctuality, safeguarding and confidentiality. They will be able to build positive relationships with students, families, colleagues and external agencies, and will be committed to supporting the welfare and wellbeing of children and young people.
