Job Description

    We are seeking a highly organised motivated individual to provide administrative support. The post holder will coordinate the administration of Time to Live (TTL), Short Breaks, and other microgrant funds, enabling carers to access short breaks from their caring responsibilities. The role also includes general administrative and financial duties to support the effective operation of the service.

 

 

           Key Responsibilities

 

·        Manage the allocation, administration, and monitoring of Time to Live, Short Breaks, and other microgrant funds for unpaid carers, ensuring compliance with funding guidelines and budget requirements.

·        Review, assess, and process grant applications, ensuring eligibility criteria are met and obtaining additional information where required.

·        Process grant payments and maintain accurate records of applications, approvals and feedback.

·        Prepare reports and maintain documentation relating to fund usage, grant activity, and carer outcomes in line with reporting requirements.

·        Work closely with the Carers Service Manager to promote funding opportunities, support unpaid carers, and respond to enquiries relating to grants and carers services.

·        Provide administrative support for workshops, forums, meetings, and events.

·        Provide comprehensive administrative support, including record management, communications, enquiry handling, and office administration.

·        Record minutes, maintain records, and reconcile financial returns.

·        Liaise with partners, external agencies, and suppliers.

·        Ensure adherence to GAMH policies and procedures including Data Management protocols.

·        Collect and maintain accurate and up-to-date records relating to the service including entry onto electronic spreadsheets and databases.

 

 

 

 

General

.

  • Attend regular supervision with line manager.
  • Participate in team and staff meetings and attend other meetings as requested.
  • Engage in training as necessary to support the role.
  • At all times maintain the professional integrity and reputation of GAMH and represent their main interests in any dealings with other bodies, groups, and individuals.
  • Participate in out-of-hours work as and when required.
  • To perform any other duties and responsibilities consistent with the post as directed by the Carers Service Manager

  • Work effectively and follow lone working practices which encourage effective and safe practice.
  • Ensure that you are aware of and comply with GAMH policies, procedures and practices designed to protect the health, safety, and security of all employees.
  • Report risks or issues to the Service manager.
