Job Purpose

We are seeking an organised and proactive General Administrator to join our growing team. In this role, you will handle day-to-day administrative duties and provide vital operational support to the wider team. The ideal candidate is a reliable multitasker with excellent communication skills who thrives in a collaborative environment.

Key Responsibilities

  • Team Support: Assist various departments with scheduling, data entry, and preparing documents, presentations, or reports.
  • Office Coordination: Manage incoming calls, emails, and post, directing them to the appropriate team members.
  • Data Management: Maintain and update internal databases, electronic filing systems, and physical records accurately.
  • Meeting Logistics: Organise internal and external meetings, book rooms, prepare agendas, and take minutes when required.
  • Supplies & Inventory: Monitor and order office supplies, stationery, and equipment to ensure seamless daily operations.
  • Visitor Hospitality: Act as the first point of contact for office visitors, providing a welcoming and professional experience.
  • Ad-Hoc Tasks: Carry out any other general administrative duties as required to support the shifting priorities of the business.

What will I learn? Along with in house training on internal systems wou will be working towards a Modern Apprenticship in Business Administration. The SCQF Level 6 Business and Administration apprenticeship is designed to equip those working in business and administration with the skills and knowledge they need to demonstrate competence in their job role.

Learners on this programme have a broad range of activities with significant complexity, responsibility and autonomy, often in a supervisory or team-leading role.

Learner outcomes

Mandatory units cover managing workload, communicating and planning, and improving own performance in a business environment.

There is also a wide range of optional units including work responsibilities, document production and design, managing events, customer service, managing business

What qualifications or qualities are required? Essential Qualities

Strong Attention to Detail: Crucial for managing data entry accurately, keeping internal records up to date, and preparing error-free documents and reports.

Proactive & Eager to Learn: Motivated to gain new skills while working towards a Modern Apprenticeship (SCQF Level 6) and taking ownership of professional growth.

Organised & Self-Motivated: Capable of prioritising tasks, managing workload efficiently, and balancing practical day-to-day duties with apprenticeship study units.

Reliable & Professional: Punctual, trustworthy with sensitive information, and comfortable serving as a polite first point of contact for office visitors and caller inquiries.

Collaborative Team Player: Adaptable to supporting various departments and assisting colleagues with shifting daily priorities.

Desirable Skills & Qualifications

Good Communication Skills: Confident written and verbal communication for handling emails, taking meeting minutes, and assisting visitors.

Basic IT Literacy: Familiarity with standard office tools (like Microsoft Office or Google Workspace) and a willingness to learn internal databases.
