Full Job Description

Job purpose: GSS Contracts is looking for an organised and enthusiastic Administrative Apprentice to join our team.

This is a 12-month apprenticeship focused on developing your digital application and administrative skills while gaining valuable practical experience within a busy business environment.

The role will initially have a strong focus on invoicing and administration, with the opportunity to develop your skills across a range of office-based tasks. You will receive on-the-job training alongside your apprenticeship learning, giving you the opportunity to gain both a recognised qualification and practical workplace experience.

What you will be doing:

Preparing and processing customer invoices accurately and on time

Checking job information, timesheets and supporting documentation to ensure invoices are correct

Following up on any missing information required for invoicing

Assisting with invoice queries and liaising with customers and internal teams where required

Updating and maintaining accurate records and information

Using Microsoft Office and other digital applications to support day-to-day administration

Assisting with spreadsheets, data entry and document preparation

Supporting the wider team with general administrative tasks

Developing your digital and IT skills through your apprenticeship training

Assisting with other ad-hoc office duties to ensure the smooth running of the business

We are looking for someone who:

Is enthusiastic about starting a career in administration

Is organised, reliable and willing to learn

Has good attention to detail and takes pride in producing accurate work

Is comfortable working with numbers and information

Has good communication skills and is confident working with colleagues and customers

Has an interest in developing their digital and IT skills

Is comfortable using, or keen to learn, Microsoft Office applications including Excel and Outlook

Can manage their workload and work well as part of a team

Is willing to undertake the required apprenticeship learning alongside their role

The Apprenticeship

This is a 12-month Digital Applications apprenticeship, combining practical workplace experience with structured learning and development.

The apprenticeship will provide the opportunity to develop practical skills in digital applications, administration and office systems while gaining experience within a real working environment.

This is an excellent opportunity for someone at the beginning of their career who is keen to learn, develop their skills and build a long-term career in administration.

What will I learn? This apprenticehip programme leads to the Diploma in Digital Application Support SCQF Level 6 awarded by SQA. It gives apprentices the skills to understand and use a wide range of digital applications relevant to their job role, troubleshoot issues and provide support to colleagues.

What qualifications or qualities are required? Is confident working with numbers and financial information

Has excellent attention to detail and takes pride in producing accurate work

Is confident using Microsoft Office, particularly Excel and Outlook

Works well as part of a team but is also able to work independently
