Full Job Description
We are looking to recruit a Branch Administrator to join our Team based in our Bellshills Office in Scotland. The successful candidate will support our Service Leader teams by providing accurate and timely administrative support for existing installation operations ensuring the business unit achieves its sales and operational targets and contributes positively in growing and retaining the existing maintenance portfolio.Your main responsibilities In this role, you'll be responsible for:
- Responsible for proactively identifying and coordinating service and repair activities for open jobs
- Ensure accurate execution and documentation in systems, monitor job progress, and inform customers of status updates, timelines, delays, and completion of works to deliver excellent customer service through collaborative planning and discussions in the background
- Proactively drive closure of completed jobs and verify that all executed works are correctly processed for invoicing and reporting purposes
- Maintain and process all worksheet and timesheet data including payroll relevant documents
- Maintain vigilance in all customer dealings to detect "Warning Signs" of customer dissatisfaction and possible contract cancellation; immediately communicate all such concerns to line manager
- Maintain and display a professional decorum in all dealings with customers, especially complaint handling
- Register and modify non-financial account & contact data incl technical database
Outstanding communication skills, with customer service etiquette - Proficient use of Office 365 (Excel, Word, PowerPoint, Outlook). SAP experience will be highly beneficial
- Construction, Services and related industries preferred but not essential
- Excellent customer service skills with internal and external stakeholders
- Excellent time management, planning and analytical skills, with strong attention to detail
- Strong organisational and time-management skills
- Problem-solving attitude and ability to work under pressure
- Excellent communication skills at all levels, including a wide range of stakeholders within the business
- Self-starter and entrepreneurial
- Continuously drives & improves processes & systems
- High degree of accuracy and attention to detail
- Ability to work independently and as part of a team
- Agility and adaptive approach to change
