Full Job Description
Job purpose: We are pleased to offer an exciting opportunity with a well-established organisation for a Modern Apprenticeship at SCQF Level 6 in Business & Administration.
This role will give you the chance to gain hands-on experience in a busy operational and customer-focused environment while working towards a recognised qualification. You will receive training, mentoring, and ongoing support to help you develop key skills in administration, customer service, communication, and business operations.
As part of the role, you will support a busy hire desk function, assisting with customer enquiries, maintaining accurate records, processing documentation, and supporting the smooth day-to-day running of the team. You will work closely with experienced colleagues, gaining valuable insight into customer service, administration, and operational processes within a professional business environment.
Throughout your apprenticeship, you will complete workplace tasks, projects, and assessments linked to your qualification, with time and support provided to help you succeed.
By the end of the apprenticeship, you will have developed the confidence, knowledge, and practical experience needed to provide excellent customer service, manage administrative processes accurately, and contribute effectively within a professional business environment.
What will I learn? During the apprenticeship, you will develop a range of practical business and administration skills, including:
- Responding to customer enquiries in a professional and confident manner.
- Prioritising tasks and understanding when to escalate enquiries or issues.
- Communicating effectively with customers, suppliers, colleagues, and internal teams.
- Adapting your communication style to suit different situations.
- Supporting administrative processes, including data entry, record keeping, document management, and general office tasks.
- Using business systems and digital tools to update records accurately.
- Managing both electronic and manual information in line with company procedures.
- Supporting front-of-house duties, including answering calls, welcoming visitors, and directing enquiries.
- Assisting with customer orders, agreements, and day-to-day administrative activities.
- Supporting the coordination of operational activities and scheduling requirements.
- Working as part of a team and contributing to shared goals.
- Understanding workplace policies, procedures, confidentiality, and GDPR.
- Developing awareness of health and safety requirements within a professional working environment.
- Using common workplace software and business systems, with full training provided.
You will also build wider employability skills such as organisation, time management, attention to detail, confidence, professionalism, teamwork, and problem solving.
This opportunity would suit someone who is interested in developing a career in business administration, customer service, or office-based operational support.
What qualifications or qualities are required? Previous experience is not required, as full training and support will be provided. However, you should be motivated to learn, open to feedback, and committed to completing the requirements of the Modern Apprenticeship programme.
The ideal candidate will have:
- A positive attitude and willingness to learn.
- Good communication skills, both written and verbal.
- Confidence speaking with customers, colleagues, and visitors.
- Good attention to detail and accuracy when completing tasks.
- A professional and respectful approach to work.
- The ability to stay organised and manage tasks effectively.
- A helpful and customer-focused attitude.
- The ability to work well as part of a team.
- A responsible approach to handling information and following procedures.
- An interest in developing administrative and digital skills.
- Reliability, punctuality, and commitment to completing the apprenticeship.
You should be enthusiastic about developing new skills, taking part in training and reviews, and contributing positively to a busy team environment.
