Full Job Description

To provide excellent customer service and manage all after sales queries directed into the Client Services team. To offer immediate assistance to outsourced fleet managed customers and drivers. To support the Finance team creating invoices to a tight deadline. What will I be doing? Customer Service & Query Management

  • Manage all after-sales queries, ensuring accurate, timely resolution.
  • Handle requests including purchase prices, early terminations, contract amendments, and vehicle collections.
  • Maintain clear communication with customers, providing updates throughout the query lifecycle.
  • Issue relevant documentation to clients, partners, and suppliers.
  • Accurately update internal systems to reflect contract changes and document all interactions.
  • Escalate and resolve issues that may impact customer satisfaction or business reputation.
  • Collaborate with internal teams to deliver effective solutions.
  • Provide general administrative support and undertake ad hoc tasks as required.
  • Fleet & Driver Support
  • Respond to enquiries from drivers and fleet customers via email and telephone.
  • Maintain and update eFleet records, including running reports and issuing service/MOT reminders.
  • Coordinate vehicle movements, including liaison with drivers and suppliers.
  • Support key account activities, including driver checks, flexi hire, collections, driver cards, and in-life contract queries.
  • Administer fines, reporting, and customer-related documentation.
  • Finance Administration
  • Raise and process invoices in line with tight deadlines, ensuring accuracy across systems (Sage and Concilium).
  • Support monthly billing, reporting, and query resolution.
  • Maintain organised records, filing systems, and invoice reconciliation processes.

    Previous experience in a customer service or administrative role.
  • Experience within fleet management, automotive, leasing, or financial services.
  • Ability to manage customer expectations and handle queries with accuracy and empathy.
  • Proven experience handling high-volume queries and working to deadlines. Capable of managing multiple tasks and queries simultaneously
  • Familiarity with invoicing, billing processes, or finance administration.
  • Competence using CRM systems and Microsoft Office (particularly Excel and Outlook).
