Hays are delighted to be partnering with a leading professional services organisation to recruit a Document Production Specialist for their Edinburgh office. This is an exciting opportunity to join a highly regarded organisation, supporting colleagues across the business by delivering high-quality document production and technical support services.Working within a fast-paced environment, you will play a key role in ensuring documentation is produced to the highest standards while contributing to process improvements, template development and technical projects.
Your new role
As a Document Production Specialist, you will be responsible for producing, formatting and maintaining complex documentation while providing technical expertise across the Microsoft Office suite, with a particular focus on Microsoft Word.
Key responsibilities will include:
- Producing and formatting complex documents to a consistently high standard.
- Creating accurate documentation from digital dictation and transcription platforms.
- Maintaining exceptional attention to detail, ensuring quality and consistency across all work.
- Managing multiple priorities and delivering work within demanding deadlines.
- Troubleshooting document and formatting issues, providing practical technical solutions.
- Supporting the development, testing and enhancement of Microsoft Word templates and document automation tools.
- Building strong working relationships with colleagues across all levels of the business.
- Supporting departmental and organisation-wide projects with technical expertise and assistance.
- Sharing knowledge and best practice with colleagues and wider business support teams.
- Keeping up to date with new technologies, systems and ways of working.
- Ensuring compliance with company policies, procedures and quality standards.
What you'll need to succeed
To be successful in this role, you will have previous experience in a document production, document specialist or technically focused administrative role, ideally within a professional services environment.
You will demonstrate:
- Advanced Microsoft Office skills, particularly within Microsoft Word.
- Previous experience producing and formatting complex documents.
- Excellent attention to detail and commitment to accuracy.
- Strong organisational and time management skills.
- The ability to manage competing priorities and tight deadlines.
- Excellent written and verbal communication skills.
- Strong problem-solving and troubleshooting abilities.
- A proactive and adaptable approach to work.
- The ability to build strong relationships with stakeholders across all levels.
- Confidence learning and adopting new systems and technologies.
- A collaborative mindset with the ability to work effectively as part of a team.
