Executive PA vacancy
The role
Our client is looking for an energetic and super organised Executive PA to join the growing team –
someone who has amazing attention to detail and the ability to provide organisational and
administrative support.
The successful candidate will be responsible for the smooth running of the Edinburgh office
as well as providing administrative and operational support to our team in London.
This role will cover many aspects of our business and presents an opportunity for the right
person to shape the role and be an integral part of the team.
Day-to-day responsibilities
1. Support the four Partners across operations, HR support and administration – working
closely with existing diary management support.
2. Oversee the onboarding of new team members including both the welcome process and
the operational logistics
3. Provide oversight and organisation to ensure the agency policies and procedures are up to date
and well communicated across the team, and that our health and safety responsibilities
are fulfilled
4. Coordinate the management of the head office in Edinburgh – liaising with building
management, outsourced maintenance providers and other supplier partners
5. Provide necessary office and operational support to colleagues working in the serviced
offices in London and Newcastle
6. Source quotes from suppliers and manage relationship until completion of works or
services
7. Manage the maintenance of stock levels – including, but not limited to, catering items
and stationery
8. Ensure meeting rooms in the Edinburgh office are stocked and prepared ahead of any
meetings and that any catering requirements are met
9. Support the delivery of any events and hospitality that the team may organise – including
occasional travel when necessary
10. Be the welcoming first point of contact for any guests coming into the Edinburgh office
11. Handle any mail or deliveries coming into our Edinburgh office and ensure they are dealt
with in the appropriate way
Skills and experience required
• exceptional organisational skills
• an eye for detail and a pride in delivering at a high standard
• previous experience in an office environment : PA or Executive Support
• an ability to work independently and as part of a team on challenging and rewarding
work
• a desire to develop personally and make a difference to our clients and the team
Salary and benefits
• Full time annual salary of circa £35,000 dependent on experience. May consider a 4 day week.
