Reporting to the Internal Communications Manager, the Internal Communications Assistant will assist in delivery of all aspects of the internal communications strategy, including employee engagement and delivery of consistent messaging across all of our communications channels.

The role delivers key areas of internal communications and employee engagement, as part of ScotRail activity planning, including effective support of content on key internal channels. Additionally, there is proactive development of future plans to make sure we have engaging content and good news stories each week.

This role will work closely with the Internal Communications Manager, Internal Communications Officer, and provide support to the Head of Communications and Communications Director on executive and leadership team visibility and engagement, including increasing frontline engagement, enhancing safety communications, and organising engagement sessions. This role will also assist in the creation of high quality engaging content to keep employees informed on the key priorities of the business.

Key Responsibilities:

* Support the delivery of a forward looking, measurable internal communications programme to meet business needs.

* Deliver a step change in digital communications by identifying and developing new channels and increasing use of current channels, e.g. Viva Engage, through engaging content and channel promotion.

* Support the management of internal communications channels e.g. Yammer, intranet, employee newsletters, and emails to ensure effective delivery of communications.

* Support the creation of strong relationships across ScotRail from the Executive team through to frontline colleagues to facilitate open and transparent communications.

* Support the creation of internal engagement opportunities for the Managing Director and Chief Operating Officer of ScotRail.

* Work closely with other members of the communications team to create compelling content that celebrates ScotRail’s achievements, for example, celebrating our people and the projects they are involved in.

* Support in the creation and development of a forward-looking calendar of content aligned to the business objectives and focussed on key business priorities.

* Continually work to improve relationships and engage across all our internal audiences, ensuring content is relevant for specific audiences.

* Production of effective internal communications that are focussed on supporting delivery of the business objectives and which increase focus on engaging employees through two-way communications opportunities.

* Monitoring employee feedback and ensuring this is actioned and fed back into the business.

* Assisting in the creation of videos through the development of scripts and messaging to help deliver key organisation updates.

* Assisting in regular reporting of activities to ensure ongoing effective evaluation of key communications activities.

* Support governance and meetings structure to meet the requirements of ScotRail and delivery of communications Key Performance Indicators (KPIs)

* Help drive continuous improvements across all internal communications channels through effective measurement and delivery of associated actions.

What you bring:

* Educated to Degree level or relevant experience.

* Previous experience of working in an internal communications team.

* Excellent communications skills – both written and verbal – including the ability to write key messages and detailed communications plans.

* Good time management skills in order to meet deadlines and comply with agreed procedures.

* Excellent organisational skills.

* Experience of many aspects of the ‘communications mix’, in particular internal communications, digital and more traditional channels, and project communications.

* Experience of building and maintaining collaborative relationships.

* Experience of working within a complex organisation.

Please note – ScotRail offers a hybrid working model which is typically 3 days in the office and 2 days working from home.
