Full Job Description

We have an immediate opening for an Operations Administrator based at Silverburn, Glasgow. This is an exciting opportunity for an enthusiastic individual, who is keen to gain and develop a career in property and facility management. The successful individual would be a key team member in our established and experienced operations team, responsible for a regional shopping and leisure destination. Whilst we are flexible on the extent of the specific skill set, we are looking for someone with either an administrative background in finance, data management or an appropriate degree in facilities or environmental management or a technical degree qualification.

As an Operations Assistant, you will play a crucial role in supporting the efficient and smooth functioning of

Silverburn's operations department. You will work closely with operations and finance departments, assisting in administrative tasks, data management, and ensuring the overall effectiveness of daily operations. Your attention to detail, strong organisational skills, and ability to handle multiple tasks will be essential in contributing to the success of the operations team.


  • Administrative Support: Assist in day-to-day administrative tasks, including data entry, filing, document preparation, and maintaining records. Provide support to management and staff as required.

  • Process Coordination: Collaborate with different teams to ensure that operational processes are executed effectively and efficiently.

  • Communication and Coordination: Facilitate communication between departments, ensuring that information flows smoothly, and any operational issues are raised promptly. Act as a liaison to ensure seamless coordination between departments.

  • Reporting and Analysis of utility consumption: Assist in generating reports and analysing operational data to identify trends, patterns, and opportunities for improvement in conjunction with management.

  • Facility Management: Support facility maintenance administration with document management and invitations to tender.

  • Administrating and coordinating contractor and visitor access requests in conjunction with Retail

  • Support Manager and Security team
  • Finance Admin: Help track operational budget expenditure, raising POs/Work orders and assisting with invoice processing. Assisting Deputy General Manager with budget building and reports as required

  • Attend monthly service providers performance meetings and assist DGM with KPI reporting

  • Providing basic IT support troubleshooting and escalating issues to the IT service provider as required.

    Proven experience in administrative or operational support roles is desirable.

  • Excellent planning and time-management skills, with the ability to prioritise tasks effectively.

  • Strong written and verbal communication skills to interact with various departments.

  • Analytical mindset with the ability to interpret data and provide valuable insights.

  • Detail-oriented and capable of maintaining accurate records.

  • Ability to adapt quickly to changing priorities and work well under pressure.

  • Team player with a positive attitude and willingness to collaborate with colleagues.

  • Intermediate to advanced Excel Skills

  • Previous experience in dealing with invoices is desirable

  • Ability to work to deadlines, GCSE or equivalent (preferred)

    Salary Range - £23,000 per annum to £27,000 per annum plus benefits
