Full Job Description

William Thomson & Sons are looking for an Operations Administrator to join their team. You would be a key colleague within the team, providing banking and insurance support to WMT clients and the wider business.,

  • Client Banking Tasks - Client ad-hoc requests for invoice payments, cash transfers to own accounts, cash transfers between WMT client money accounts. Maintain regular payments diary and ensure payments are carried out when due. Check C/A account balances and top up when required.

  • Business Banking Tasks - Pay approved invoices on behalf of WMT using Xero. Carry out inter-account transfers requested by the Tax & Trusts Team. Administer Payrolls Set up new Des accounts as required.

  • Quarterly Fees - Ensure the quarterly fees are collected in a timely manner with invoices raised accurately using Xero Accounting Software.

  • Payment checking - Assist with day-to-day bookkeeping for the firm's accounts; assist with the production of annual accounts.

  • General Insurance (Home, travel, car) - Maintain renewal diary. Send out renewal reminders. Assist clients to set up new policies or amend existing policies through WMT approved providers. Raise invoices for work carried out. Respond to client queries.

    Being a flexible and proactive team worker.

  • Bookkeeping experience. Preparation of accounts would be beneficial

  • Proficient in the use and application of Xero Accounting Software.

  • Some Payroll knowledge would be advantageous.

  • Attention to detail / accurate keying is critical to the role.

  • Understanding of business purpose and client expectations.

  • Good knowledge in the use of Microsoft Excel.

  • Able to prioritise and organise tasks, working without supervision.

  • Adaptable to change and willing to learn new skills as required by the business.

  • Excellent communication skills.
