Hays are delighted to be recruiting on behalf of a growing construction organisation for a Project Coordinator to join their team. Based in Edinburgh City Centre this is an excellent opportunity to join an ambitious business delivering projects across multiple locations.You will become part of a fast-paced and collaborative operation, working closely with site teams, commercial colleagues, suppliers and clients to ensure each project is delivered safely, efficiently and to a high standard.
Your new role
As Project Coordinator, you will play a pivotal role in the successful delivery of projects, overseeing activities from initial project handover through to final completion. Working closely with operational, commercial and site teams, you will ensure projects remain on schedule, within budget and fully aligned with client expectations.
Your responsibilities will include:
- Managing the coordination of projects throughout the full project lifecycle, from handover to final completion and client approval.
- Creating, updating and tracking project schedules, milestones and delivery programmes.
- Monitoring project performance, resource allocation, budgets and potential risks to ensure successful outcomes.
- Maintaining accurate project records, workflows and reporting
- Acting as a central point of contact between site teams and internal departments including purchasing, logistics, design and commercial functions.
- Proactively identifying project risks, dependencies and potential delays, escalating issues where necessary.
- Coordinating with suppliers and internal stakeholders to ensure materials, equipment and resources are available when required.
- Managing project documentation, including variations, RFIs, change controls and completion records.
- Producing regular progress updates and reports for clients, stakeholders and senior leadership teams.
- Supporting and participating in project review meetings, providing clear updates on project status and key actions.
- Coordinating snagging activities, handover documentation and final project close-out processes.
- Ensuring projects are delivered in line with company quality standards, health and safety requirements and client expectations.
What you'll need to succeed
To be successful in this role, you will bring:
- Previous experience in a Project Coordinator, Project Administrator or Project Management role, ideally within construction, engineering, manufacturing, fit-out or multi-site project environments.
- Strong planning and organisational skills, with the ability to coordinate multiple projects simultaneously.
- Experience working collaboratively with both operational teams on-site and office-based stakeholders.
- An understanding of project scheduling, resource allocation, budget monitoring and risk management principles.
- Confidence using project management and workflow systems
- Excellent stakeholder and client relationship management skills, with the ability to build effective working partnerships.
- Strong communication skills, both written and verbal, with the confidence to provide updates across all levels of an organisation.
- A proactive mindset, capable of identifying challenges early and implementing practical solutions.
- The ability to remain organised and focused when working to tight deadlines and changing priorities.
- Exceptional attention to detail, with a commitment to maintaining accurate project records and documentation.
- Knowledge of quality management systems, including ISO 9001 standards, would be beneficial but is not essential.
