THE HEALTH AGENCY


is a charity based in Wester Hailes dedicated to supporting over 2,000 people in South-West Edinburgh each year to live longer, healthier, more fulfilling lives. As a community-led organisation, our services aim to tackle health inequalities and improve the health and wellbeing of people experiencing social isolation, cancer, long-term conditions, food insecurity and mental and emotional health challenges. We strive to enable local people to take action that makes a positive impact on their own and their community’s physical, mental and emotional wellbeing.


WE’RE SEEKING A RECEPTIONIST


who will be the welcoming face of The Health Agency ensuring clients and visitors feel supported and valued. You will play a vital role in providing information, advice and signposting to services - ensuring people receive the right help at the right time. Your organisational and administrative skills will be vital to the smooth running of our services, enhancing the client experience and making a meaningful impact on the health and wellbeing of those we support.


DUTIES INCLUDE


  • First point of contact providing a warm and professional welcome to all clients and visitors.
  • Manage all enquiries by telephone, mail, email and through the website.
  • Provide exceptional customer service by delivering clear, accurate information about The Health Agency’s services.  
  • Administer and process referrals for all our services and ensuring accurate and up to date client information is recorded in the Salesforce CRM database. 
  • Provide organisational and administration support across the organisation.
  • Maintain the calendar for room bookings and process room requests.
  • Maintain a clean, organised and welcoming reception area, waiting room and public spaces.
  • Prepare, set-up and reset rooms for all our activities.

ABOUT YOU


  • Previous reception experience or experience working in a customer facing role.
  • Ability to communicate effectively in person, by phone and email.
  • Ability to build rapport quickly.
  • Administrative experience and knowledge of Microsoft Office packages and CRM databases.
  • Experience working as part of a team.
  • Aptitude to self-organise, prioritise and meet deadlines.
  • Capable of working under pressure while paying attention to accuracy and detail.
  • Commitment to delivering excellent customer/client experience
  • Empathetic to the aims and values of The Health Agency

WHAT WE OFFER


  • £26,228 pro-rata based on 37.5 hours FTE (£20,982 pa for 30 hours)
  • 24 days Annual Leave, plus 10 public holidays pro rata
  • 3% employer pension contribution (NEST)

Community development The Agency uses this approach that is consistent with the principles of community development in terms of empowering people, both individually and collectively, to identify and address the issues that confront their lives. We promote learning, knowledge, skills, confidence and the ability to act collectively. We work towards change through increased local democracy, participation and involvement in public affairs. This in turn strengthens organisations, networking and leadership between communities. Working in Partnership The Agency acknowledges the importance of working collaboratively with both voluntary and statutory services to ensure that awareness of health issues and psycho/social issues are integral to their activities. Volunteering We aim to work towards lifting people out of poverty and setting them on a positive course by offering a variety of volunteering opportunities such as administrator/receptionists, counsellors, complimentary therapists, gardeners who will have the opportunity to learn to build fences and sheds. They are very much seen as part of the Health Agency team.
