Job Summary

As a member of the Retail team you will be responsible for providing the day to day management of all retail and trading activities within an Ayrshire Hospice charity shop.


You will drive income through careful selection, pricing and effective merchandising of goods in-store. You will receive and process a wide range of donated goods for onward re-sale within the commercial shop retail environment.

The shop manager will lead a team of paid staff and volunteers in the delivery and management of a professional shop retail function. This will incorporate the responsibility for managing a staffing rota, volunteer training and supervision, support and motivation of staff and volunteers in their day to day duties.

The store manager will have excellent communication skills with the ability to communicate confidently and effectively at all levels within the Ayrshire Hospice, working collaboratively across retail and the wider Hospice.


Main Responsibilities

  • To manage and co-ordinate all aspects of merchandising donated goods – including categorisation, preparation and presentation of goods. Prepare and execute effective in-store and window displays to promote key goods and products.
  • Ensuring quality control is maintained during the sorting, selection and presentation of donated goods in line with Ayrshire Hospice retail guidelines.
  • Review all incoming goods to identify any specialist or “high value” items. Transfer these items to E-commerce or specialist shops where appropriate.
  • Ensuring effective stock control by liaising with the Warehouse to request supplementary stock if required and ensuring key stock lines are available.
  • Price products in line with the Ayrshire Hospice pricing process using brand knowledge to get the highest value for all donated stock. Develop and implement promotions and sales to improve sale levels and income.
  • Monitor progress against agreed targets.
  • Embrace a culture of excellent customer service and support employees and volunteers to develop positive and professional relationships with customers.
  • Effectively deal with customer concerns or complaints in the first instance before escalating to Area Retail Manager, if required.
  • Develop positive relationships with donors to add in repeat donations.
  • Be responsible for issuing till pins for new volunteers to ensure that the Electronic Point of Sale (EPOS) is operated effectively and accurately.
  • Have responsibility for ensuring that all donations and sales are input in the EPOD accurately.
  • Prepare all shop taking and other cash income for banking on a daily bases. Organise relevant secure cash transit and/or storage facilities as required, ensuring compliance with Hospice cash security procedures.
  • Be responsible for all petty cash claims from their shop and submitting reimbursement claims, alongside evidence, to the Area Retail Manager.
  • Manage and oversee the systems and processes for the recovery of gift aid income from the sale of donated goods. To ensure that eligible amounts claimed under the gift aid scheme are maximised and that appropriate supporting records are maintained.
  • Develop and undertake own in-store initiatives to improve gift aid conversion rates among members of the public donating goods.
  • Manage the recruitment of new volunteer staff – including conducting interviews, monitoring the process on the Applicant Tracking System (ATS) and liaising with the Recruitment Administrator. Supporting volunteers in recruitment with their training including manual handling, health & safety, customer service and merchandising.
  • Managing and co-ordinating shop rotas to ensure employees and volunteers are available to execute each day’s day-to-day tasks while delegating tasks where appropriate.
  • Ensure compliance with all relevant Health & Safety requirements including completing risk assessments and fire safety reviews. Achieve and maintain high standards of housekeeping, organisation and cleanliness throughout the shop premises.
  • Work with the local community to ensure a strong public image of the Ayrshire Hospice is maintained through promotion and communication.
  • Lead at external events, where appropriate, to deliver additional income and to promote the Ayrshire Hospice.
  • Managing the Duty Manager assigned to the shop including, but not limited to, creating schedules, coordinating Return To Works and Performance & Development Review.
