Full Job Description
The role is 36 hours each week, based in the Community Development Office in the Town House, Kirkcaldy.
Provide a comprehensive administrative support service to the Community Development staff team. Duties include maintaining computer systems and processes to support service delivery. This involves data/word processing, preparing and distributing documentation, financial transactions, printing, scanning, copying, mail handling, scheduling and coordinating meetings and appointments, minute and note taking and related customer contact duties.
It includes handling telephone calls, emails and visits from the public and taking messages, bookings, providing advice or information and handling straight forward complaints, escalating as appropriate.
You will be required to create, maintain and archive project files and learner records for all youth work, CBAL and community development projects.
Updating and maintaining systems that support data capture, supporting the retrieval of this data to allow the completion of reports and returns.
You will be expected to support members of the Community Development Team with their duties including raising orders, processing invoices, administering daily cash sheets, preparing income and expenditure paperwork and petty cash.
Educated to SCQF level 4, which includes National 4 or Standard Grades at General level or O Grades or equivalent.
Have customer service/care skills and experience.
Demonstrate good communication skills, both oral and written and experience of maintaining confidentiality.
Have experience of working in an office as part of a team.
Have experience of using IT applications, showing ability to use packages effectively.
Have good numerical skills and experience of dealing with money and banking.
Have experience of applying attention to detail.
Have good time management and organisational skills.
Able to work under pressure while still achieving results.
