Full Job Description

NHS Greater Glasgow and Clyde is one of the largest healthcare systems in the UK employing around 40,000 staff in a wide range of clinical and non-clinical professions and job roles. We deliver acute hospital, primary, community and mental health care services to a population of over 1.15 million and a wider population of 2.2 million when our regional and national services are included.  

The shift pattern will be confirmed with the successful applicant (18.75 hours).

(Please note the salary is Pro Rata) for part time hours. 

The YPIM (Young People in Mind) team provide a service for all children 0-26 years old who are looked after or accommodated by West Dunbartonshire council and/or young people who are vulnerable to homelessness. YPIM offer consultation, support and guidance to foster carers within West Dunbartonshire. YPIM also have a remit to provide advice and consultation to residential staff within each of the three residential childrens houses in West Dunbartonshire.

The purpose of this role is to support the administration/secretarial tasks for the YPIM team. The post holder will be responsible for providing a full range of administration tasks including the provision of administration and secretarial support. This will include data input activity, updating systems (databases), typing including audio typing, the production of complex reports, minute taking and assisting in the preparation of meetings and events organised by the team. The post holder will answer telephone calls and deal with incoming/outgoing mail.

Knowledge, training and experience required:

Essential

  • SQA- Standard Grades or equivalent including English
  • Proficient in the use of Microsoft Office Software including Microsoft Outlook, Word, Excel, PowerPoint and Access. ECDL or equivalent
  • At least 2 years experience of working in a secretarial/administrative background
  • Excellent typing, including audio, skills with high degree of accuracy and speed
  • Keyboard skills requiring a high degree of speed and accuracy
  • Excellent numeracy skills to be able to work with statistical information and to be able to extract and report on data
  • Excellent interpersonal skills
  • Good planning and organisational skills
  • Excellent communication skills
  • Ability to work as part of a team
  • Flexibility
  • Ability to prioritise work load and exercise initiative

Desirable

  • Knowledge of medical terminology
  • Experience of working within a NHS environment
  • Understanding of the function of the professions with the multi-disciplinary team
