Full Job Description

Reporting into the General Manager the Events Specialist is responsible for managing event and wedding enquiries at Lews Castle. Being a strong communicator they are the key liaison between the clients and the operations team of the Castle and will ensure that all parties have all the information they require to ensure a successful and memorable event. At the Castle we offer events of all sizes - from afternoon tea for two through to weddings for 120 guests.

This is a fantastic role for someone who is highly organised, is a strong administrator, enjoys meeting people, has a positive outlook, has great communication and literacy skills and takes pride in delivering an excellent level of service.

day to day responsibilities

  • Manage all incoming event and wedding enquiries and provide the client with all the information they require in good time.

  • Prepare tailored quotes for each client for their event.

  • To be fully aware of facilities available at Lews Castle including excellent knowledge of room configurations and event room capacity

  • Arrange show rounds and site visits.

  • Arrange contracts, deposits, send invoices and ensure that notes and paperwork for each booking is accurate and up to date.

  • Respond to all client questions in a timely manner in the run up to the event.

  • Arrange menu tastings and final details calls for all bookings.

  • Liaise with the General Manager, Head Chef and external suppliers regarding requirements and timings prior to the day.

  • Organise facilities and discuss all event details with the client in order to provide all required information to the operations team within good time of the event in the form of a function sheet.

  • Liaise with Central Office to identify event opportunities and generate interest to promote and publicise events in the local area such as afternoon teas, Christmas, New Year, Valentine's Day, Easter and other seasonal events.

  • Be proactive in seeking sales opportunities as well as being reactive to inbound enquiries.

  • To ensure that group room allocations are loaded correctly and effectively to maximise sales.

  • Utilise Supercontrol to process payments and allocate room bookings.

  • Maintain good communication with the Lews Castle General Manager and the central office.

  • Ensure that we comply with all requirements for insurance, food hygiene and licensing for each event.

  • Be part of the wedding and event experience - welcoming and greeting guests.

  • Manage sales of all Christmas party events for the Castle and manage this process in order to provide all required information to the operations team within good time of the event dates including drinks and menu pre-orders.
