Full Job Description

An excellent opportunity has arisen for a HR Coordinator to join our team in Aberdeen. As HR Coordinator you will welcome and manage all new starts into our organisation as well as provide general HR support for the company. This is also an excellent opportunity for a HR Graduate or for someone looking for progress their career in HR.

If you are keen to develop your experience further, we can offer involvement in project work as well as professional training & development. There will be plenty to get involved in!

This is a full-time role with Hybrid working arrangements in place. (3 days onsite, 2 days working from home)

What you will do

  • Manage the new start process, ensuring all relevant systems and personnel are updated

  • Conduct and coordinate background screening on new starts, including right to work checks

  • Run weekly induction sessions virtually and in person

  • Maintain employee files and our HR system ensuring all records are accurate and up to date

  • Provide assistance to the other HR Coordinator in the team who is responsible for the leavers process

  • Assist the HR Advisor/Manager with general/adhoc administration requests and projects (e.g. producing letters, data reports, arranging meetings, taking minutes)

  • Assist with the management of the central HR mailbox and triage queries, dealing with employee requests

  • Assist with the management of contract administration for those working via umbrella and Ltd companies

  • Assist with management and coordination of fixed term and supplier contract extensions, including employee and stakeholder management as part of this process

  • Assist with the coordination of the sickness absence process and procedure, including daily notification to key stakeholders

  • Assist with the production of prosource profiles

  • Assist with coordination of staff events throughout calendar year

  • Provide cover for the HR Administrator during spells of holiday/absence

  • Provide cover for travel team during spells of holiday/absence.

    Advanced user of Microsoft Office suite, particularly Excel

  • Advanced user of HR systems (e.g. CIPHR)

  • Accuracy and attention to detail

  • Strong communication skills, written & verbal

  • Confidence to deal with all levels of employees in the organisation, up to Director/Leadership level

  • Ability to organise own workload effectively

  • Time management and prioritisation skills
