Full Job Description

Working for the UK Operations Finance Manager, this varied role will provide efficient administrative support to the Peterhead and Aberdeen Marine Operations and Finance Teams. Applicants must have well developed IT skills particularly in the use of Excel to deliver timely financial information in addition to being highly focussed on detail, accuracy and consistency. Duties include:

  • Process vessel arrivals through receipt of Harbour log prior to updating vessel movement.


  • Complete voyages and reconcile details through computerised system. Subsequent purchase order and sales order to be created and delivered.


  • Submit cargo declaration along with vessel dues and pilot movements to the Harbour.


  • Review mailbox and action bulk certificates applicable to vessels.


  • Run chargeable and non-chargeable plant and labour reports. Reconcile back to email correspondence along with creation and delivery of sales order.


  • Purchase and sales order creation and delivery for local external and intercompany purchases.


  • Reconciliation of ad-hoc labour and crane charges back to information source.


  • Download vessel voyage reports and create a bulk summary schedule for each vessel. Discrepancies to be communicated and resolved with appropriate teams.


  • Sales invoice team support to resolve queries prior to submission to customer.


  • Produce and update reports, ensuring the information meets Company and client expectations.

    Customer focussed with a proven track record within an administrative role with strong numeracy skills and attention to detail.


  • Ability to develop and maintain effective relationships with colleagues, customers, and vendors.


  • Flexible and adaptable to changing workloads and priorities, liaising with multiple sources to deliver a high-quality product.


  • Strong interpersonal and communication skills both verbal and written.


  • Computer literate with well-developed IT skills across the Microsoft suite and a practical understanding of data entry and reporting applications.
