Operations and Business Services Officer| 23 Months (Outside IR35)| Onsite (Edinburgh)

Harvey Nash's client is recruiting for an Operations and Business Services Officer on a 23 month contract.

Main Responsibilities

  • Perform front desk tasks such as welcoming external visitors.
  • Keep meeting rooms and their amenities, including refreshments, in good condition for use.
  • Ensure office kitchens are adequately stocked with supplies.
  • Coordinate travel and accommodation arrangements according to established procedures, when needed.
  • Assist the Records Custodian with regular inventory audits or as required.
  • Handle incoming and outgoing mail, including coordinating courier services as needed.
  • Maintain and update all Operations & Business Services tracking systems.
  • Manage office stationery requests from different departments, ensuring supplies are readily available through collaboration with Finance.
  • Ensure office equipment is operational, such as making sure printers are stocked with paper and toner.
  • Monitor shared email inboxes and respond to messages appropriately.
  • Maintain and distribute internal contact lists.
  • Assist with the organization and smooth running of Hearings, including welcoming guests, arranging refreshments, and providing lunches as needed.
  • Follow established administrative procedures and identify opportunities for improvement.

Key Skills

  • Proven administrative experience
  • Previous experience of working in front of house roles
  • Positive, can-do attitude, to deliver high levels of service
  • IT literate, with a strong knowledge in Microsoft 365
  • Ability to collaborate with colleagues and support personnel and management teams
  • Excellent organisational, prioritisation and time management skills
  • Excellent interpersonal, verbal and written communications skills, alongside a confident personality
  • Proven ability to work flexibly, ensure deadlines are met and work under pressure.
