Utopian Professional Recruitment are delighted to be working with our Glasgow based client who are looking to recruit a Receptionist & Office Administrator to join them on a full time, permanent basis.


This is a fantastic opportunity for a highly organised individual who thrives working within a busy environment which offers variety within their role. The purpose of this position is to manage all the administrative tasks for the site whilst fulfilling receptionist duties and would suit someone who is customer focused with the ability to handle various administrative tasks whilst maintaining a professional image for the business at all times.


Your key responsibilities will include:

Reception Tasks:

  • Be the first point of contact for visitors entering the reception area
  • Provide a professional and positive manner
  • Operate multi position telephone systems including answering and directing phone calls in a polite and efficient manner
  • Managing access to reception and front door entry
  • Manage all incoming and outgoing mail, packages and deliveries
  • Maintain a clean & tidy reception area at all times

Administrative Support

  • Provide administration support to the team and management onsite including arranging any travel requirements, ie, flights, hotels, taxi transfers (for visitors if required too)
  • Maintain and replenish office supplies
  • Coordinate and schedule meetings, appointments and conference room bookings
  • Assist in preparing and editing documents, reports and presentations
  • Arrange all aspects of buffet, lunch and refreshments for visitors and/or inhouse seminars and meetings required
  • Assist in organising and maintaining office filing systems

Other duties

  • Communicate with clients, suppliers and other stakeholders when required
  • Hand any indirect enquiries to appropriate personnel
  • Draft and distribute internal and external communications
  • Enter and update data in spreadsheets, databases and other records
  • Maintain accurate and up to date records of office expenses, invoices and receipts
  • Coordinate with the internal facilities team, vendors and service providers for office maintenance and repairs
  • Ensure all equipment is functioning and report any issues as they arise

To be considered for this opportunity, our client does require the following background / experience:

  • Previous experience working within a similar administrative and/or receptionist role
  • Excellent MS Office capabilities
  • Highly organised and strong multi tasking skills required
  • Excellent communication and interpersonal skills
  • Ability to maintain professional and friendly
  • Naturally positive, proactive and approachable
  • Great attention to detail with the ability to manage a variety of tasks
  • Strong work ethic and ability to work as part of a small successful team

  • Full Time opportunity working 37.5hrs per week (Monday to Thursday 8hrs per day and 5.5hrs on a Friday, most finish by 12.30pm)
