Full Job Description
As a result of our continued growth in the UK and the scale of our current project pipeline we are looking to recruit administrative support for our project development teams delivering green field developments, acquisitions, business case development across multiple technologies including solar PV, onshore wind and energy storage.
The role will be based in either our Edinburgh or Glasgow offices, travel will be expected between each office (though there is no preference for main office location)
Both Edinburgh and Glasgow offices have city centre locations close to main railway stations and public transport
Salary dependent on experience and performance.
What You Will Do
General Admin and Coordination
- Organising and calendar management of regular internal meetings and ad hoc external meetings
- Liaising with office managers to book travel arrangements for team members
- Assisting with expenses and invoicing queries of team members
- Monthly updates with Finance Team
- Management of the Contract Register
- Overall responsibility for our Workfront project management system
- Regular updates of dates, milestones, project risks
- Meeting minutes and reports
- Ensuring monthly data input and reports are up to date and accurate
- Handover of developed project to our project management and construction teams - managing information, folders and meetings to facilitate handover
- Financial Models - assist development team to organise regular updates as project capacities, spend and development timelines change
- Monthly Updates with MDs - coordinate effort to ensure all required information is updated and reflected properly in slides/PowerBI/reports
- RfDs - assisting with setup in Signavio approvals process to obtain approval signatures, and updating based on increases in spend
- Liaising with legal team, development team and others disciplines to set up contracts for internal approvals and sign off
- Liaising with Procurement and SHEQ teams to set up new consultancy contracts
- Responsible for regular checking with Grid team to ensure grid securities, cancellation charges and other contract milestones/commitments are up to date
- KPI Hours - collate time on site for BayWa staff and external consultants
- Preparation of Risk Assessments and Methodology Statements (RAMS) for our site visits and consultant site visits
- Filing/folders - ensuring consistency across all development projects, and in format that aligns with PM and construction needs for handing over
- Check of planning documents, engineering drawings, Option Plans, Planning boundaries, shapefiles
- Potential acquisitions - assisting acquisition team as needed to coordinate reviews
- Internal due diligence check of our own project information for future sales, setting up data rooms and main point of contact with sales team during sales process
- Taking meeting minutes
- Managing Design logs (checking with engineering design team that they are recording design decisions)
- Admin of external sharepoint folder, access, and document control (index of docs)
- Data management (chasing relevant person for GIS files, Land Plans)
- Tendering and contract/supplier set up
- Setting meetings and site visits (RAMS, calendars)
- Written Questions during Examination - working with Planning Consultant to process Written Questions from PINS to ensure Written Responses are submitted timely with input from relevant people (and recorded in correct folders)

General co-ordination and administrative support of busy teams in office environments. - Specific experience of relevant systems such as Workfront, Power BI and Sharepoint would be beneficial.
