Full Job Description

As our expansion continues we are recruiting a Sales Administrator to join the Edinburgh regions HQ, in Newbridge.

The role is working Monday to Friday for 37.5 hours per week


About the role

The Sales Administrator will manage the processing of orders, answering customers' questions and providing after-sales support for all customers in and around the Edinburgh region.


Main duties and responsibilities:

 

  • Ensure all development details are entered and updated in the relevant management systems and sales monitors are accurate. (i.e Connections, COINS & Excel)
  • Enter and maintain accurate records of all customers details in line with legal requirements throughout the sales journey
  • To produce weekly, monthly and other ad hoc reports required by management
  • To maintain digital back-up records of information
  • Maintain records of competitor analysis on weekly/monthly basis
  • To provide administrative support to the Sales Manager/Sale Director
  • To co-ordinate the distribution of information between the Sales & Marketing department and other departmental functions within the business unit
  • To produce timely and accurate Completion Statements for the legal and finance functions and liaise with these departments accordingly
  • Ensure relevant Legal Notice is issued via Solicitors in line with contractual agreements
  • Ensure that all sales events are recorded accurately and regularly and engage with legal team to assist throughout the sales progression.
  • To co-ordinate the provision of adequate quantities of sales literature and support materials for each development
  • Processing of client selections and extras
  • To provide support to the Sales Managers and Sales & Marketing Director in the setting up of each new development
  • General sales department document filing
  • To raise purchase orders and process invoices for Sales and Marketing department as required

What you will need:

  • Strong Excel skills
  • Operation of IT based systems
  • Working in time critical environment
  • Administrative experience
  • Experience of working within a sales environment
