Full Job Description

Eden Scott's client is seeking a Senior IFA Administrator, to join them in there team in Dunfermline, the successful individual will play a crucial role in supporting our Independent Financial Advisors (IFAs) and ensuring the smooth operation of our advisory services. Your expertise and attention to detail will be vital in managing client portfolios, processing complex financial transactions, and providing administrative support that meets the highest standards of accuracy and efficiency.

Key Responsibilities:

  • Provide comprehensive administrative support to IFAs, ensuring all client documentation and records are accurately maintained.
  • Manage client portfolios, including processing new business applications, fund switches, and withdrawals.
  • Liaise with clients, product providers, and other stakeholders to ensure seamless communication and service delivery.
  • Prepare and review client reports, ensuring compliance with regulatory requirements and company standards.
  • Ensure the customer journey is seamless for both existing clients and new clients. New client on-boarding from initial contact until funds are invested.
  • Recording and handling complaints from customers and to providers.
  • Oversee the implementation of new processes and systems to improve administrative efficiency.
  • Comply with internal and FCA compliance policies and procedures, ensuring all client data and information remain confidential and compliant e.g., AML & GDPR.
  • Ensuring all required documentation for client business is available and saved in line with company policy and procedures.
  • Maintain a good knowledge of financial products, services, and regulatory requirements to be able to provide support to the Financial Adviser team.
  • Train and mentor junior administrative staff, fostering a collaborative and high-performing team environment.

Person Specification

  • Minimum of 3-5 years of experience in an IFA administrative role or a similar financial services position.
  • Strong knowledge of financial products, services, and regulatory requirements.
  • Excellent organizational and time-management skills, with the ability to handle multiple tasks and meet deadlines.
  • Exceptional attention to detail and accuracy.
  • Proficient in using financial planning software and Microsoft Office Suite.
  • Strong interpersonal and communication skills, with a client-focused approach.
  • Ability to work independently and as part of a team, demonstrating initiative and problem-solving skills
