Using patented technology, their state-of-the-art Steam Screw Expander generator sets deliver clean energy from the waste steam of plant owners. From cottage industry artisans to multi-nationals, Heliex Power unlocks the potential of their customers' waste heat and steam - enabling businesses to prosper and do their bit in saving the planet.

The business is now seeking to scale up sales efforts to fully capitalise on significant market opportunities and as such, is on a large recruitment drive to support its in-house operations, design, manufacture and assembly capabilities. Headcount is expected to increase by c.50% over the next 12 months, which will present significant opportunities for career growth to those joining the business at this stage of their journey.

The Role

As the Supply Chain/Procurement Assistant, you will play a crucial role in supporting the procurement team in various operational and administrative tasks related to sourcing, purchasing, and supplier management. Your responsibilities will include assisting in procurement processes, maintaining accurate records, communicating with vendors, and ensuring compliance with procurement policies and procedures.

The role will include:

  • Support Supply Chain Lead in daily tasks related to sourcing, purchasing, and contract management.
  • Preparing and sending open order reports to suppliers and updating delivery on NAV.
  • Generate and process purchase orders in accordance with procurement policies and guidelines.
  • Monitoring the progress of purchase orders from placement to delivery.
  • Identifying critical orders and requesting expedited processing or delivery as needed to meet project deadlines or urgent requirements.
  • Addressing and resolving any issues or discrepancies related to orders, such as quantity discrepancies, quality concerns, or delivery delays.
  • Communicate with suppliers to obtain quotes, negotiate prices, and finalise purchase agreements.
  • Monitor and maintain inventory levels to ensure timely availability of required items while minimising excess inventory.
  • Ensure compliance with company procurement policies, procedures, and regulations, including ethical sourcing practices.
  • Collaborate with cross- functional teams such as finance, operations, and logistics to ensure seamless procurement processes and timely delivery of goods and services.
  • Collaborate with other departments to understand their material requirements and provide necessary support.
  • Generating and maintaining shipping documents, and other relevant paperwork accurately and in compliance with regulations.
  • Coordinating shipments, scheduling pickups, and deliveries, tracking shipments, and monitor delivery to customers.

The person

  • Previous experience working a Tactical Buyer/Procurement Assistant role - with experience in supporting transactional day-to-day activity.
  • A high level of organisational, administrative skills.
  • Proficient in computer program (MS Word, Excel).
  • Excellent verbal and written communication skills, with the ability to negotiate effectively and build relationships with vendors with the ability to manage multiple projects and tasks.
  • Critical thinking and problem-solving skills to resolve procurement-related issues and optimize processes.
  • Ability to work in a fast-paced environment, prioritize tasks, and adapt to changing priorities and requirements.
  • Commitment to ethical procurement practices, including fairness, transparency, and compliance with regulations and policies.
